1. Introduction 

This Standard Operating Procedure (SOP) outlines the processes and procedures for gathering and updating information during the onboarding or management of a project for a customer, and for recording this information in the Project Workbook. 

2. Purpose 

 
Provide a structured approach to effectively track and organize discussions, decisions, and follow-ups related to customer projects. 

 

3. Key features 

Meeting Notes: A section to capture detailed notes from each meeting, ensuring all key points and decisions are documented. 

Action Items: A dedicated area to list action items assigned to each attendee, including deadlines and status updates. 

Contact List: An up-to-date contact list for all attendees and relevant company contacts, facilitating easier communication. 

 

4Process Flow 

  • Creation and Ownership: The Implementation Manager (IM) creates and owns the Project Workbook at the beginning of a new project or customer onboarding. 

  • The IM is responsible for ensuring accountability for action items. 

  • Updating: SSM/IM continuously updates the workbook after customer-related meetings. 

  • NAM/RAM is responsible for informing the IM of any action items discussed in separate calls. 

  • Completion: The workbook will be considered complete upon successful completion of a 90-day follow-up period after the project's launch. 

 

 

5. Schedule 

Updates to the workbook occur whenever FleetPride meets with a customer or has internal meetings to discuss customer-related topics.
